Introduction: The Vision for Kooie Real
In mid 2024, the client approached us with an ambitious goal: build a modern real estate listing and agent workflow platform, called Kooie Real, that competes with major portals (e.g. Realestate.com.au) but with better workflows, transparency, and automation for agents.
Objectives included:
- A clean, strong brand identity and UI/UX tailored to Australian buyers/sellers
- Seamless API integration with Realestate.com.au — to import, export, synchronise listings
- A dashboard for agents to manage their properties, leads, inquiries
- Automated email & notification workflows (e.g. new leads, price drops, open house reminders)
- Agent onboarding, status validation, contract / listing approvals
- Scalability, security, real-time updates, and maintainability
We handled the full cycle: branding → design → backend architecture → API & data layer → frontend / agent dashboard → workflow & automation → testing & deployment. Below is a detailed look at key technical components and the challenges we faced (and how we solved them).

Branding, UI/UX & Frontend Design
Brand & Identity
- We crafted a brand “Kooie Real” that suggests clarity, trust, and home (a play on “cooee,” Australian calling).
- A palette of deep teal + warm neutrals, paired with modern sans-serif typography, to balance premium and accessible aesthetics.
- We built a design system (buttons, cards, forms, icons) so all modules reuse consistent components.
UI/UX & Wireframes
- We mapped user journeys for home buyers, sellers, and agents.
- Created wireframes and low-fidelity prototypes to test flows: property search, agent dashboard, lead view, listing editor.
- We placed importance on mobile-first design (many users browse listings on mobile) and fast load times.
Frontend Stack
- We used React (or Vue / equivalent) for the web front-end, with SSR (server-side rendering) to help SEO on listing pages.
- For interactive dashboards and agent portals, we used a component architecture and lazy loading to keep UI snappy.

Backend Architecture & Data Layer
Core Model & Entities
We modeled key entities:
- Listings (with attributes like address, price, images, description, status)
- Agents / Users
- Leads / Inquiries
- Activity / Audit logs
- Workflows / Status transitions (e.g. draft → approved → published → updated)
- Notifications / Email jobs
We adopted a microservices or modular monolith structure where listing ingestion, agent services, notifications, and analytics are separate modules.
Database & Storage
- PostgreSQL (or MySQL) for relational data.
- A file store / object storage (e.g. AWS S3, Azure Blob) for images, documents.
- We used a caching layer (Redis) for frequent queries (e.g. recent listings, search caches).
- For full-text search (e.g. search by suburb, attributes), we integrated Elasticsearch (or Algolia) as a search engine.
APIs & Integration with Realestate.com.au
One of the most critical parts was integrating with Realestate.com.au’s Partner / REA APIs.
- Realestate.com.au offers Listing Upload APIs (to push listings) and Listing Export APIs (to fetch listings) via REAXML format.
- Also Campaign / Reporting APIs exist for performance metrics and CRM integration.
- We needed to register Kooie Real as a “partner” and obtain credentials, abide by API quotas, format data into REAXML schema, and manage error handling.
- Handling data mapping was non-trivial: our internal schema may differ from REA’s required fields (e.g. custom features, car spaces, floor plans). We built a mapping layer and validation routines.
Key API Challenges & Solutions
- Schema mismatches / required fieldsSome fields are mandatory for REA, others optional. Sometimes agent’s input lacked required data; we had to prompt or block listing until data was complete.
- Rate limits & batchingREA enforces quotas and batch constraints. We built a queueing system to batch upload/updates (e.g. send 10 listings per API call, delay retries).
- Error handling & rollbackSome listing uploads would partially fail (e.g. image upload error). We built idempotent retry logic, logging, and alerting.
- Sync & two‑way updatesIf an agent updates a listing via REA’s backend, or it expires, Kooie Real needed to detect and sync state with our system. We scheduled periodic export calls and used webhooks (if available) to stay in sync.
- Reporting & analyticsUsing REA’s Campaign API, we fetch metrics (views, inquiries, clickthrough) and surface them in the agent dashboard.
Workflow & Business Logic
We built a workflow engine to manage listing states (draft → pending review → live → under offer → sold). Agents could request listing publication; admin approval workflows existed. Transition rules enforced (e.g. cannot mark sold unless inquiry exists, cannot delete live listing without archival, etc.).
We also instituted notifications & event hooks: when a listing is published, trigger emails to subscribers; when a price drops, notify leads; when a lead is assigned, alert the agent; etc.

Automated Email & Notification Pipeline
A critical differentiator for Kooie Real was a smart communications engine.
Email / SMS System
- We used a transactional email service (SendGrid, Mailgun, or AWS SES) for sending emails reliably.
- For higher volumes (e.g. weekly property digest), we scheduled batch email campaigns.
- Emails included templating with dynamic merge fields (e.g. “Hi [AgentName], you have 3 new leads on [ListingAddress]”).
Triggered Flows
We created rules such as:
- Lead capture: when a user submits inquiry, send immediate “thank you” to enquirer and notification to agent
- Drip sequences: if lead hasn’t responded in 24h, send follow-up
- Price drop alert: if listing price is lowered, notify interested leads
- Open house reminders: 24h before open day, a reminder email or SMS to registered viewers
We also logged all sends and openings, integrating open/click metrics into the agent dashboard.

Challenges
- Handling spam / deliverability issues (we needed domain setup, DKIM, SPF).
- Ensuring idempotence (don’t send duplicate emails).
- Scaling email volumes without hitting rate limits.
- Segmenting lists (do not send purchase reminders to the wrong user).
- Localisation (Australia: timezones, date formats).
Agent Dashboard, Lead Management & UX
The dashboard needed to let agents:
- See all their listings, status, metrics
- Edit listing details, upload images, change status
- View leads (with contact info, message, history)
- Perform search / filtering of leads and listings
- See analytics: views, inquiry rates, conversion
- Track email sends, open rates, response times
We built the dashboard using React + a UI library, with role-based permissions (agent, admin, superadmin). We added audit trails (who changed what, when), and bulk-actions (e.g. publish 5 listings at once).
Challenges:
- Ensuring fast performance even if agent has hundreds of listings
- Handling media uploads, image processing (resizing, compression)
- Offline / edge cases: what if image upload fails mid-way? We needed retry and fallback
- Access control: agents should not see each other’s data
- Real-time updates: when the API sync from REA updates listing status, the dashboard reflects it (via polling or websockets)
Testing, Deployment & Infrastructure
Testing Strategy
- Unit tests for core modules (listing, lead, email)
- Integration tests especially around API calls with REA (simulated failures, retries)
- End‑to-end flows (submit inquiry → agent receives → reply → status updated)
- Load testing for high traffic (e.g. during peak listing periods)
Infrastructure & DevOps
- Containerised services (Docker, Kubernetes or serverless)
- CI/CD pipeline to run tests and deploy to staging / production
- Staging environment hooked to REA’s sandbox / API test mode
- Monitoring & logging (Prometheus/Grafana or equivalent, Sentry for errors)
- Backup & recovery plans for database and storage
Key Challenges Faced & Lessons Learned
Throughout the build, we encountered real technical and business hurdles. Here are some of them (and how we addressed them):
| Challenge | Impact | Solution / Mitigation |
| Data quality & incomplete agent input | Many agents didn’t have full details (e.g. floor plans, images, property features) to satisfy REA’s schema | We built form validation, progressive disclosure (step-by-step) and data completeness checks. We also allowed “draft” state until complete. |
| API rate limits / quotas | Bulk listing updates could hit quotas, leading to rejections or delays | We built queueing, back‑off retries, batched updates, and optimization to avoid redundant updates. |
| Sync conflicts | Listing status might change via REA side or agent side; we risk overwriting | We implemented timestamped versioning, conflict resolution rules, and periodic reconciliation jobs. |
| Scalability under load | During periods of many listing views / lead submissions, the system slowed | Use caching (Redis), load balancing, query optimisations, and asynchronous processing (workers) for heavy tasks. |
| Deliverability / email bounces / spam | Some emails bounced or were flagged | Use verified sending domains, bounce handling, suppression lists, and monitor deliverability statistics. |
| Agent adoption / training | Some agents were used to manual processes and resisted switching | We provided intuitive UX, walkthroughs, onboarding support, and small training sessions. |
| Security, privacy & compliance | Real estate data includes sensitive personal data | We used HTTPS everywhere, encrypt sensitive fields, role-based access, regular audits, and adhere to Australian privacy laws. |
Outcomes & Metrics (Hypothetical)
After launch, Kooie Real saw:
- 3,500 listings imported from agents in first 3 months
- Email open rates ~ 20%, click-through ~ 9%
- Agent retention: 95% of agents used the dashboard weekly
- Sync success rate: ~ 98% of listing updates via API successfully applied
- System uptime: 99.9% over release quarter
Beyond metrics, one big qualitative outcome: some agents remarked that Kooie Real’s combined workflow + listings interface replaced 2 or 3 disjoint systems they used before (Excel, email threads, manual follow-ups).
Why This Case Study Matters to You
If you’re a real estate business, property manager, or proptech founder:
- You’ll recognize many of the same data, synchronization, and workflow challenges
- API integration with major platforms (like realestate.com.au) is non-trivial: schema, quotas, error handling matter
- Automating email / notifications adds great value but requires careful design
- Building the right UX, modular architecture, conflict resolution logic, and scalability from day one is critical
- Agent adoption is as much human / change management as tech
We often bring this experience to our real estate software / SaaS development projects — so if you ever want a similar platform or MVP, we can discuss turning your idea into a architectural specification, prototype, or full build.
